01 Information We Collect
When you use Brain Dump Express, the following data may be collected and stored securely on Firebase (Google Cloud):
- Transcriptions you create
- Action points generated from your transcriptions
- Contact names, phone numbers and email addresses you add
- Your to-do list items
- Your sharing history
- Your theme preference
- Account information associated with your sign-in method (including Google Sign-In where applicable)
02 Google Account / OAuth Data
If you choose to sign in with Google, Brain Dump Express uses Google OAuth / Google Sign-In to authenticate you. Depending on the scopes you approve on the Google consent screen, we may receive:
- Your Google account email address
- Your name and profile picture
- A unique Google account identifier
- Any additional Google API data required only for the specific in-app features you use (for example, sending or delivering content you explicitly choose to share), limited to the scopes shown in the OAuth consent screen and configured in our Google Cloud project
We request only the narrowest Google permissions needed to provide Brain Dump Express features. Google user data is used solely to provide and operate the app for you (authentication, syncing your account data, and features you initiate).
03 Microphone Usage
Brain Dump Express uses your microphone only for live transcription. Your audio is processed in real time on your device and is never stored or transmitted as an audio file.
04 AI Processing
When you generate action points, your transcription text (content you create in the app) is sent to our AI provider (OpenAI) temporarily so we can return a summary or action points to you. This processing is performed only to deliver that feature for your request. We do not sell this data. We do not use Google user data, or raw or derived data obtained from Google APIs, to create, train, or improve foundational or generalized machine learning or artificial intelligence models.
06 How We Share, Transfer, or Disclose Google User Data
This section describes with whom we share, transfer, or disclose Google user data (including data obtained through Google Sign-In / Google APIs and related account information). We do not sell Google user data. We do not transfer Google user data for advertising or independent marketing purposes.
We may share or disclose Google user data with:
- Google Firebase / Google Cloud — to authenticate your account, store and sync app data associated with your account, and operate backend services for Brain Dump Express.
- OpenAI — only user-generated transcription or related text you submit for AI action-point / summary features. This is transferred temporarily to generate results for you and is not sold by us. We do not authorize use of Google user data to train or improve foundational or generalized AI/ML models.
- Email / SMS API providers — only the message content and recipient details you choose when you use sharing or delivery features, solely to complete delivery.
- Service providers acting on our behalf — only as needed to host, secure, or operate the app, under obligations consistent with this policy and applicable Google user data requirements.
- Legal and safety disclosures — if required by law, regulation, legal process, or to protect the rights, safety, or security of users, the public, or Brain Dump Express.
Aside from the recipients above, we do not share, transfer, or disclose Google user data to other third parties for their own independent use.
07 Limited Use Compliance
Brain Dump Express’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The use of raw or derived user data received from Workspace APIs (and other Google APIs used by the app) will adhere to the Google User Data Policy, including the Limited Use requirements. We do not use, transfer, or sell Google user data—including raw, aggregated, or derived data—to create, train, or improve foundational or generalized machine learning or artificial intelligence models. AI/ML features in Brain Dump Express process user-provided content only to provide user-facing features (such as generating action points) and not to develop generalized AI/ML models.
08 Permissions We Request
- Microphone — required for live transcription.
- Contacts — optional, helps you pick recipients faster.
- Google Sign-In / Google API scopes — only those shown on the Google OAuth consent screen and required for authentication and the features you use.
You can deny optional device permissions and still use core parts of the app. You can revoke Google access at any time in your Google Account permissions settings.
09 Data Storage
Your app data is stored securely on Firebase, a cloud platform provided by Google. Firebase is protected by industry standard security measures. You can request deletion of your data at any time by contacting us or using our Delete Account page.
10 Third Party Services
We use the following third party services. Each may process data as described in this policy and in their own privacy policies:
- Firebase by Google / Google Cloud — authentication, data storage, and related backend services. Google user data used for sign-in and account operation is processed here.
- OpenAI — converts user-provided transcription text into action points or summaries for the requesting user only; not for our sale of data or for training foundational/generalized models by us.
- Email / SMS API providers — deliver messages you choose to send.
These services have their own privacy policies. We share Google user data with them only as described in Section 06 and subject to Limited Use restrictions.
11 Data Deletion
You can delete any contact directly from the list and it will be permanently deleted. To request full account deletion (including associated account data), visit our Delete Account page or contact us at the email below.
12 Children's Privacy
Brain Dump Express is not intended for children under 13. We do not knowingly collect data from children.
13 Changes to This Policy
We may update this policy from time to time. The updated date at the top will always reflect the latest version. Continued use of the app means you accept the updated policy.
